Terms and conditions and privacy policy for membership at SiS sports center
Remember that the current contract/terms for you as an existing member are the ones you received when you joined.
General
1.1. In these terms, the contracting parties are defined as "SiS sportssenter" and "the member". SiS sportssenter is a department of the Student Welfare Organisation and will be referred to as such in the agreement.
1.2. The terms are part of the membership agreement and, together with the registration procedure, will constitute the contract between SiS sports center and the member, in order of priority where the contract is the primary document.
Membership at SiS Sports Center
2.1 Membership at SiS sports center may be taken out by persons who:
2.1.1. Is 16 years old, or turns 16 during the year of enrollment. Identification may be required. Persons under the age of majority (18 years) may enter into a membership agreement with SiS sports center if a parent or legal guardian signs the agreement on their behalf. The parent or legal guardian is legally responsible for payments related to the membership.
2.1.2. Has a generally good state of health. The member is personally responsible for being medically fit to use the center. If SiS sports center sees obvious reasons that training is harmful for the member, the center will request a meeting with the aim of helping the member correct any problematic training behavior.
2.1.3 Who has not previously been banned from SiS sports center, and does not have outstanding debt from a previous membership
2.2. Membership at SiS Sports Center is personal and cannot be transferred or otherwise used by a third party.
2.3. When joining, a photo of the member will be taken; the image is for verification purposes only.
2.4. Separate terms and age limits apply for climbing facilities, cf. chapter 10
2.5. SiS sports center has its own safety and well-being rules that must be followed, cf. chapter 9
2.6. SiS sports center cannot guarantee a spot in group classes and other activities where the number of participants is limited
2.7. SiS sports center has the right to adjust membership prices, other fees, and to change membership terms. Such adjustments may also be made if government or municipal fees are changed, or if considerations related to safety, official orders, or changes in legislation make adjustments necessary.
2.7.1. Annual price adjustments will be introduced from autumn 2026 for new members, and from 1 January 2027 for existing members. Thereafter, price adjustments will be determined and communicated annually, with effect from 1 January each year. Notification of price changes and changes to terms and conditions shall take place in accordance with applicable regulations and notice periods.
2.8. All or parts of the center may be closed or have limited services in connection with events, public holidays, maintenance work, and force majeure.
2.9. SiS sports center has reduced opening hours and a reduced group training schedule on public holidays, special days, Christmas, Easter, and from mid-June to mid/late August. On 17 May, SiS sports center is always closed.
Duration of membership
3.1 Direct debit with 12‑month binding period: The membership is valid for a minimum of 12 months and is an ongoing contractual relationship. After the binding period has expired, the membership is renewed automatically and continues until it is terminated. Termination can be activated no earlier than after the end of the binding period. The notice period is one month, calculated from the last invoice withdrawal (the 15th of each month). Notice of termination must be sent by e‑mail to the address stated on SiS sports center’s website. The agreement requires the customer to set up a direct debit arrangement.
3.2 Direct debit with no binding period (minimum 2 months): The membership is valid for as many months as the Member wishes, but with a practical minimum period of 2 months due to the notice period. The membership is an ongoing contractual relationship. The notice period is one month, calculated from the last invoice withdrawal (the 15th of each month). Notice of termination must be sent by e-mail to the address provided on SiS sportssenter’s website. The agreement requires the customer to set up a direct debit arrangement.
3.3. Membership 1 month: The membership is paid upon registration and takes effect immediately. The validity period runs from the date of purchase to the same date the following month. The agreement is automatically terminated at the end of the period, and cancellation is not required. The agreement does not require a direct debit arrangement.
Custom membership
4.1. Membership at SiS Sports Center provides access to the add-ons and concepts that are included in the specific membership customizations selected upon registration. Access is limited to the services and facilities defined in the chosen membership agreement.
4.2. Membership upgrades can be made at any time to gain access to additional services and concepts. Upgrades take effect immediately and are made by email to the address provided on SiS sportssenter’s website.
4.3 Downgrading of membership can be done to reduce access to additional services and concepts, provided that there is no fixed-term commitment on the contract. For downgrades of additional services, a notice period of one (1) month applies, calculated from the last invoice withdrawal (the 15th of each month).
4.4 Padel, squash and personal trainer have their own prices and are not part of the membership customizations
Payment terms
5.1 As a general rule, SiS Sports Center uses AvtaleGiro as the method of payment 5.2. To use AvtaleGiro, the member must have a Norwegian bank account and be at least 18 years old
5.3. The member is responsible for establishing and maintaining a direct debit authorization (AvtaleGiro) with their bank. The authorization must be valid at all times and have an amount limit that covers the invoice amount.
5.4. Termination of AvtaleGiro does not affect the member’s payment obligations and is not considered a termination of the membership.
5.5. AvtaleGiro must be active before the 2nd of each month for payments to be processed without additional fees (33 NOK). If AvtaleGiro is not active before the 2nd of the month after registration, the first payment can be made at the center’s reception.
5.6. After setting up AvtaleGiro, the agreed amount will be debited from the member’s account on the 15th of each month, except at start-up where special terms apply
5.7. The repayment of the instalment shall be made at the agreed time. In the event of non-payment after the due date, the claim will be forwarded to a third party for collection and debt recovery, and additional costs will be incurred.
Discounted agreements
6.1 Verification of discount eligibility: For memberships with a discounted direct debit agreement (e.g. student, alumni or corporate rate), eligibility for the discount may be checked one to two times per year. The member is responsible for providing the necessary documentation, such as proof of paid semester fee, employee ID card or other relevant confirmation. Documentation must be sent to the center’s email by the 3rd of the month for the discount to apply from the following month.
6.2 Special terms for student agreements: For student memberships, a valid student ID must be presented upon registration, as well as after the 12‑month binding period. In addition, student IDs will be checked every autumn semester. To be entitled to the student price, the member must have paid the semester fee to a student welfare organization in Norway. If a valid student ID is not received via post@sissportssenter.no after the end of the binding period or at the semester check, the membership will be upgraded to the alumni price. The membership will continue until the member terminates the contract.
6.3 Vocational school/Apprentice: Apprentices cannot make use of the student membership. Apprentices under the age of 23 can use the youth membership, and must present valid documentation to post@sissportssenter.no upon registration. After turning 23, they must use the standard membership.
Freeze membership
“Freeze” means a temporary suspension of the contract and payments for a limited period of time.
7.1 A freeze is only granted for agreements that are active and use AvtaleGiro as the payment solution
7.2. Freezing of membership for up to two (2) months per calendar year can be registered via the SiS Sportssenter app and does not require documentation.
7.3. All requests for a freeze of more than 2 months must be made in writing to the center’s email address provided on the website.
7.4. Stopping the direct debit agreement in online banking is not considered a freeze and will be recorded as missing payment and a breach of contract.
7.5. Regular memberships can be frozen for one (2) month per calendar year without any requirement for documentation
7.6. Student memberships can be frozen for two (2) months per calendar year without any requirement for documentation
7.7. Freezing for more than two months requires documentation and can only be applied for when the absence is due to a special reason:
illness/injury, documented with a medical certificate
pregnancy, documented with a certificate from a doctor
posted away from home in connection with work, military service or studies in another town/abroad, documented by the employer, the military or the place of study
7.8. For those freeze cases where the binding period has not been completed, this is extended by the same number of days as the freeze period.
7.9. Freezing of membership is not done retroactively
7.10. After the freeze period has expired, the membership will automatically continue under the terms and conditions on which the agreement is based.
7.11. In the event of termination during the freeze period, a one (1) month notice period applies after the end of the freeze period, provided there is no fixed-term commitment. If there is a fixed-term commitment, it must be completed before any termination can take effect.
Termination
8.1. Unless there is a fixed commitment period, the member may terminate the membership at any time
8.2. Exceptions for terminating the binding period upon cancellation apply in the event of moving 50 km or more away from SiS sports center, or in the case of acute/serious illness. In these situations, documentation must be provided in the form of confirmation of the move, or a medical certificate.
8.3. The notice period is one (1) month calculated from the last invoice deduction (the 15th of each month).
8.4. All inquiries regarding termination must be made in writing by email to the address provided on the center’s website.
8.5. Stopping the direct debit in online banking is not considered termination of the membership agreement and will be recorded as non-payment and a breach of contract.
Safety and Well-being Rules
9. 1 The member undertakes to follow the instructions and rules established by SiS sports center regarding hygiene, conduct, and general well-being. This includes:
9.1.1. Follow instructions from staff
9.1.2. Leave the center before closing time
9.1.3. Follow the center’s guidelines for clothing. See the notices at the center.
9.1.4. Tidy up and clean training equipment after use
9.1.5. Behave politely and respectfully towards others. Do not consume alcohol or drugs, or carry out actions that are illegal under Norwegian law at the center.
9.1.6. Valuables must be placed in a locked cabinet with your own padlock, and it is recommended that outdoor shoes be left in the shoe area in the arrival hall.
9.1.7. SiS sports center is not responsible for personal injuries or for belongings/shoes that are lost.
9.1.8. Locked lockers that have not been rented or emptied by closing time will be opened and emptied by SiS sports center
9.1.9. SiS sports center will attempt to store lost property, or items from emptied lockers, for a period of 14 days
9.1.10. It is not permitted to take photos or film others, including in the background, without their consent
9.1.11. Photos and video in locker rooms are strictly prohibited
9.1.12. Shaving is not permitted in the changing rooms or anywhere else in the center.
9.1.13. Violations of the rules may result in termination of membership
Climbing wall and belay certificate
10.1. Users of the climbing hall are obliged to follow the instructions and guidelines that apply to the wall at all times.
10.2. To use the climbing walls, a lead climbing card or a top-rope card is required
10.3. A safety course is required for the use of autobelays
10.4. Users of the climbing hall must sign the center’s liability waiver upon registration, or at the reception.
10.5. Parents/guardians must complete a declaration of responsibility for children and young people under 18 years of age
10.6. The main facility has a minimum age limit of 10 years
10.7. Children under 10 years old may only use the center’s children’s room and must be accompanied by a guardian.
Anti-doping
11.1. By entering into this agreement, the member undertakes to maintain a drug- and doping-free environment in accordance with SiS sports center’s policy and Anti-Doping Norway’s guidelines.
11.2. In the event of suspected use of substances from the doping list, the member consents to SiS sports center, in cooperation with Anti-Doping Norway or the police, carrying out a doping test
11.3. In the event of a positive doping test, the membership is terminated immediately without any refund of the membership fee.
Privacy Policy
12.1. Why do we need data storage?
SiS Sports Center collects personal data in order to maintain your membership at SiS Sports Center. SiS Sports Center needs to be able to identify the member when accessing the center. In some cases, SiS Sports Center also needs to contact members to provide information related to membership, opening hours, and products delivered by SiS Sports Center, such as news. SiS Sports Center collaborates with Abel Health for personal training services; by consenting to this contract, you agree that a personal trainer may contact you.
12.2. What do we need to store?
The member consents to SiS Sports Center registering and storing non-sensitive information about the customer. The information stored includes: name, address, email, phone number, photo, use of the center, as well as payment information. This information is stored in order to safeguard the member’s interests and SiS Sports Center’s administration of the member’s interests. The information may be used to send out information about changes to the membership and purely practical information, e.g. changes in opening hours, new products at SiS Sports Center, changes to classes, etc. Under no circumstances will a customer’s photo be used for anything other than identifying the member at access control.
SiS Sports Center stores the training history of each individual member. The history is used by SiS Sports Center in consultation with the member, if the member wishes to use this for their training log or further development. SiS Sports Center uses anonymized training data and demographic personal data to identify trends and developments that can improve SiS Sports Center’s product. SiS Sports Center will always anonymize user data for statistical purposes.
12.3. Who processes your data?
Only employees who work at SiS sports center have access to personal data, and only in connection with access control, payment, or maintenance of the membership. Employees at SiS sports center log in to the system with their own code.
The following systems are used to process your data:
1. Member: Membership register with enrollment data and payment history, booking of group classes, sending SMS and email related to group classes
3. Remind AS: Only if it should be necessary to use debt collection services where the member is involved
4. Windows 365 for email and similar services. Dedicated secure server
Both systems are hosted on a secure server: Redpill Linpro AS in Nydalen. SiS sports center has a data processing agreement with Membro.
12.4. Access by the member:
The member has the right to access their training history and may request that it be deleted. SiS sports center will delete this from the member’s profile as soon as possible and within one week. If you wish to have it deleted, send an email to personvern@minsis.no, and the deletion will be confirmed by email from SiS sports center.
12.5. Third party:
SiS Sports Center only discloses data to data processors with a data processing agreement. The exception is where legislation requires disclosure, for example the Accounting Act, in connection with insurance cases, or in connection with debt collection. SiS Sports Center will not release member data to social media, such as Facebook or Instagram, for processing by them.
12.6. Marketing and communication to the member:
When entering into the Membership Agreement, the member consents to SiS sportssenter being allowed to use any form of communication with the member, including electronic communication (SMS, MMS, e-mail, etc.), in order to provide information about and/or market its services, in accordance with Section 15 of the Marketing Act. The member may withdraw this consent at any time. The member can manage marketing activities based on this consent via “My pages” on the website. The member cannot opt out of communications concerning changes to membership terms or amendments to the membership agreement.
SiS sports center will not release membership data to social media, such as Facebook or Instagram, for further processing by them. If a member follows SiS sports center on Facebook or Instagram, the member must expect that they may receive information and marketing through these channels. If the member does not want this information or wishes to unsubscribe from updates, this is done through the settings in these applications. SiS sports center will not use social media to market or provide information about anything other than its own and its partners’ products. Abel Health has access to personal data because each membership offers a free consultation session.
SiS sports center automatically deletes all membership data within the deadlines set by the Accounting Act’s documentation requirements and the requirements laid down in the GDPR regulations.
12.7. Video surveillance:
SiS Sports Center has video surveillance in parts of the building. The surveillance is connected to a closed system, which only the director and the deputy have the ability to log into. SiS Sports Center has its own written procedure for logging in. The camera system may only be accessed if there is suspicion of a criminal act. In the event of suspected criminal activity, and upon written request for access, the police are granted access to the system.
13. Special measures in extraordinary events
13.1. In the event of extraordinary circumstances, such as a pandemic or similar, which result in the temporary closure of the SiS sports center, or a substantial reduction in the services offered, adjustments may be made to the payment arrangements.
13.2. The member undertakes to comply with the applicable rules in the event of extraordinary situations, both national and municipal, as well as the guidelines established by SiS sports center. This may include requirements for the member’s own efforts to maintain infection control during training. Breach of these rules may result in termination of the membership.
