Terms and Privacy Policy for Membership at SiS Sports Centre

Remember that the current contract/terms for you as an existing member is the one you received upon joining.

General

1.1. In the terms, the contracting parties are defined as "SiS Sports Centre" and "the member." SiS Sports Centre is a division of the Student Welfare Organisation and will be referred to as such in the agreement.

1.2. The terms are part of the membership agreement and, together with the registration procedure, constitute the contract between SiS Sports Centre and the member in order of priority, with the contract being the highest document.

Membership at SiS Sports Centre

2.1 Membership at SiS Sports Centre can be obtained by individuals who:

2.1.1. Are 16 years old, or turn 16 during the year of registration. Identification may be required. Individuals under the age of majority (18 years) can enter into a membership agreement at SiS Sports Centre if a guardian enters into the agreement on their behalf. The guardian is legally responsible for payments related to the membership.

2.1.2. Have a generally good state of health. The member is responsible for being medically fit to use the centre. If SiS Sports Centre sees obvious reasons that training is harmful to the member, the centre will request a conversation to help the member correct any training behavior.

2.1.3 Have not been previously banned from SiS Sports Centre or have debts from previous memberships.

2.2. Membership at SiS Sports Centre is personal and cannot be transferred or otherwise used by a third party.

2.3. Upon registration, a photo of the member will be taken, which is for control purposes only.

2.4. Specific terms and age limits apply to the climbing facilities, see chapter 10.

2.5. SiS Sports Centre has its own safety and welfare rules that must be followed, see chapter 9.

2.6. SiS Sports Centre cannot guarantee a spot in group classes and other activities where the number of participants is limited.

2.7. SiS Sports Centre reserves the right to adjust membership prices, other fees, and change membership terms. Such adjustments can also be made if state or municipal fees change, or if considerations for safety, government orders, or legal changes make adjustments necessary.

2.7.1. Annual price adjustments will be introduced from autumn 2026 for new members, and from January 1, 2027, for existing members. The first price adjustment will be announced during spring 2026. Thereafter, price adjustments will be determined and communicated annually, effective from January 1 each year. Notification of price changes and changes in terms will be made in accordance with applicable regulations and notification deadlines.

2.8. All or parts of the centre may be closed or have limited offerings in connection with events, holidays, maintenance work, and force majeure.

2.9. SiS Sports Centre has reduced opening hours and group training schedules on holidays, special days, Christmas, Easter, and mid-June to mid/late August. SiS Sports Centre is always closed on May 17.

Duration of Membership

3.1 Direct debit with a 12-month commitment period: The membership is valid for a minimum of 12 months and is an ongoing contractual relationship. After the commitment period expires, the membership is automatically renewed and continues until termination. Termination can be activated no earlier than after the commitment period ends. The notice period is one month, calculated from the last billing withdrawal (15th of each month). Termination must be sent by email to the address provided on the SiS Sports Centre website. The agreement requires the customer to set up a direct debit.

3.2 Direct debit without a commitment period (minimum 2 months): The membership is valid for the number of months the member desires, but with a practical minimum period of 2 months due to the notice period. The membership is an ongoing contractual relationship. The notice period is one month, calculated from the last billing withdrawal (15th of each month). Termination must be sent by email to the address provided on the SiS Sports Centre website. The agreement requires the customer to set up a direct debit.

3.3. 1-month membership: The membership is paid upon registration and takes effect immediately. The validity period runs from the purchase date to the same date the following month. The agreement automatically ends at the end of the period, and cancellation is not necessary. The agreement does not require a direct debit.

Customized Membership

4.1. Membership at SiS Sports Centre provides access to the options and concepts included in the specific membership customizations chosen at registration. Access is limited to the services and facilities defined in the chosen membership agreement.

4.2. Membership upgrades can be made at any time to gain access to more additional services and concepts. Upgrades take effect immediately and are made by email to the address provided on the SiS Sports Centre website.

4.3 Downgrading of membership can be done to reduce access to additional services and concepts as long as there is no commitment period on the contract. For downgrades of additional services, a notice period of one (1) month applies, calculated from the last billing withdrawal (15th of each month).

4.4 Padel, squash, and personal trainer have their own prices and are not part of the membership customizations.

Payment Terms

5.1 SiS Sports Centre primarily uses direct debit as the payment method 5.2. To use direct debit, the member must have a Norwegian bank account and be at least 18 years old.

5.3. The member is responsible for establishing and maintaining authorization for direct debit with their bank. The authorization must be valid at all times and have a limit that covers the invoice amount.

5.4. Cancelling direct debit does not affect the member's payment obligations and is not considered a termination of the membership.

5.5. Direct debit must be active before the 2nd of each month for payments to be made without additional fees (33 NOK). If direct debit is not active before the 2nd of the month after registration, the first withdrawal can be paid at the centre's reception.

5.6. After setting up direct debit, the agreed amount will be withdrawn from the member's account on the 15th of each month, except at startup where special terms apply.

5.7. Installment payments must be made at the agreed time. In the event of non-payment after the due date, the claim will be forwarded to a third party for collection and additional costs will apply.

Discounted Agreements

6.1 Verification of discount eligibility: For memberships with discounted direct debit (e.g., student, alumni, or corporate price), eligibility for the discount can be verified once or twice a year. The member is responsible for providing the necessary documentation, such as a paid semester fee, employee card, or other relevant confirmation. Documentation must be sent to the centre's email by the 3rd of the month for the discount to apply from the following month.

6.2 Special terms for student agreements: For student memberships, a valid student ID must be presented at registration and after the 12-month commitment period. Additionally, the student ID will be checked each fall semester. To qualify for the student price, the member must have paid the semester fee to a student welfare organisation in Norway. If a valid student ID is not received viapost@sissportssenter.no after the commitment period expires or during semester verification, the membership will be adjusted to the alumni price. The membership continues until the member themselves terminates the contract.

6.3 Vocational School/Apprentice: Apprentices cannot use the student membership. Apprentices under 23 years old can use the youth membership and must present valid documentation topost@sissportssenter.no upon registration. After turning 23, they must use the regular membership.

Freezing Membership

"Freezing" means temporarily stopping the contract and payment for a limited period.

7.1 Freezing is only granted to agreements that are ongoing and have direct debit as the payment solution.

7.2. Freezing of membership for up to two (2) months per calendar year can be registered via the SiS Sports Centre app and does not require documentation.

7.3. All requests for freezing beyond 2 months must be made in writing to the centre's email address provided on the website.

7.4. Stopping direct debit in online banking is not considered freezing and is registered as non-payment and breach of contract.

7.5. Regular memberships can be frozen for one (2) month per calendar year without requiring documentation.

7.6. Student memberships can be frozen for two (2) months per calendar year without requiring documentation.

7.7. Freezing beyond two months requires documentation and can only be applied for when the absence is due to a special reason:

illness/injury, documented with a doctor's certificate

pregnancy, documented with a doctor's certificate

deployment in connection with work, military service, or out-of-town/abroad studies, documented from the workplace, military, or educational institution

7.8. For freezing cases where the commitment period is not completed, it is extended by the same number of days as the freezing period.

7.9. Freezing of membership is not done retroactively.

7.10. After the freezing period expires, the membership automatically continues with the terms that apply to the agreement.

7.11. In the event of termination during the freezing period, a one (1) month notice period applies after the freezing period ends, unless there is a commitment period. If there is a commitment period, it must be completed before any termination can take effect.

Termination

8.1. Unless there is a commitment period, the member can terminate the membership at any time.

8.2. Exceptions for breaking the commitment period upon termination are in the case of moving 50 km or more from SiS Sports Centre, or in the case of acute/severe illness. Documentation must be provided in these cases in the form of a confirmation of relocation or a medical certificate.

8.3. The notice period is one (1) month calculated from the last billing withdrawal (15th of each month).

8.4. All inquiries regarding termination must be made in writing via email provided on the centre's website.

8.5. Stopping direct debit in online banking is not considered termination of the membership agreement and will be registered as non-payment and breach of contract.

Safety and Welfare Rules

9.1 The member is obligated to follow the instructions and rules set by SiS Sports Centre regarding hygiene, behavior, and general welfare. This includes:

9.1.1. Following instructions from staff

9.1.2. Leaving the centre by closing time

9.1.3. Following the centre's guidelines for clothing. See notices at the centre

9.1.4 Tidying and cleaning exercise equipment after use

9.1.5. Behaving politely and respectfully towards others. Not consuming alcohol, drugs, or engaging in actions that are illegal under Norwegian law at the centre

9.1.6. Valuables should be placed in a locked locker with a personal padlock, and outdoor shoes are recommended to be placed in the shoe zone in the entrance hall.

9.1.7. SiS Sports Centre is not responsible for personal injuries or lost belongings/shoes.

9.1.8. Locked lockers that are not rented or emptied by closing time will be opened and emptied by SiS Sports Centre

9.1.9. SiS Sports Centre attempts to store forgotten belongings or emptied lockers for a period of 14 days

9.1.10. It is not allowed to take pictures or film others, even in the background, without consent

9.1.11. Photos and videos in locker rooms are strictly prohibited

9.1.12. Shaving is not allowed in locker rooms or elsewhere at the centre

9.1.13. Violations can lead to termination of membership

Climbing Wall and Climbing Card

10.1. Users of the climbing hall are obligated to follow the instructions and guidelines that are in effect for the wall at all times.

10.2. To use the climbing walls, a climbing card or top rope card is required

10.3. To use Autobelays, a safety course is required

10.4. Users of the climbing hall must sign the centre's liability waiver upon registration or at the reception

10.5. Guardians must fill out a liability waiver for children and youth under 18 years old

10.6. The main facility has an age limit of 10 years

10.7. Children under 10 years old can only use the centre's children's room and must be accompanied by a guardian

Anti-Doping

11.1. By entering into this agreement, the member commits to maintaining a drug- and doping-free environment in accordance with SiS Sports Centre's policy and Anti-Doping Norway's guidelines

11.2. In case of suspicion of the use of substances from the doping list, the member agrees that SiS Sports Centre, in collaboration with Anti-Doping Norway or the police, can conduct a doping test

11.3. In the event of a positive doping test, the membership is immediately terminated without a refund of the membership fee.

Privacy Policy

12.1. Why do we need to store data?

SiS Sports Centre collects personal data to maintain the membership at SiS Sports Centre. SiS Sports Centre needs to be able to identify the member when accessing the centre. SiS Sports Centre also sometimes needs to contact members to inform them about matters related to the membership, opening hours, and products that SiS Sports Centre provides, such as news. SiS Sports Centre collaborates with Abel Health for PT services, and by agreeing to this contract, you consent to a personal trainer contacting you.

12.2. What do we need to store?

The member consents to SiS Sports Centre registering and storing non-sensitive information about the customer. Information stored includes: name, address, email, phone number, photo, use of the centre, and payment information. This information is stored to safeguard the member's and SiS Sports Centre's administration of the member's interests. Information may be used to send out information about changes to the membership and practical information. For example, changes in opening hours, new products at SiS Sports Centre, changes in classes, etc. Photos of the customer will not be used for anything other than identifying the member at access control.

SiS Sports Centre stores the training history of each member. The history is used by SiS Sports Centre in consultation with the member if the member wants to use it for their training diary or development. SiS Sports Centre uses anonymized training data and demographic personal data to identify trends and developments that can improve SiS Sports Centre's product. SiS Sports Centre will always anonymize user data for statistical purposes.

12.3. Who processes your data?

Only employees working at SiS Sports Centre have access to personal data, and only in connection with access control, payment, or maintenance of the membership. Employees at SiS Sports Centre log into the system with their own code.

The following systems are used to process your data:

1. Membro: Membership register with registration data and payment history, booking of group classes, sending SMS and email related to group classes

3. Remind AS: Only if collection services are necessary where the member is involved

4. Windows 365 for email and similar. Own secure server

Both systems are on a secure server: Redpill Linpro AS in Nydalen. SiS Sports Centre has a data processing agreement with Membro.

12.4. Member access:

The member has the right to access their training history and can request to have it deleted. SiS Sports Centre will delete this from the member's profile as soon as possible and within a week. If you want deletion, send an email to personvern@minsis.no, and the deletion will be confirmed by email from SiS Sports Centre.

12.5. Third parties:

SiS Sports Centre only discloses data to data processors with a data processing agreement. The exception is where the law requires disclosure. For example, the Accounting Act, in connection with insurance cases, or in connection with debt collection. SiS Sports Centre will not disclose membership data to social media, such as Facebook or Instagram, for processing by them.

12.6. Marketing and communication to the member:

Upon entering into the Membership Agreement, consent is obtained from the member for SiS Sports Centre to use any form of communication with the member, including electronic communication (SMS, MMS, email, etc.), to inform about and/or market its offer, in accordance with the Marketing Act § 15. The member can withdraw their consent at any time. Marketing activities based on this consent can be managed by the member via "My Pages" on the website. The member cannot opt-out of mailings regarding changes to membership terms or changes to the membership agreement.

SiS Sports Centre will not disclose membership data to social media, such as Facebook or Instagram, for further processing by them. If the member follows SiS Sports Centre on Facebook or Instagram, the member should expect to receive information and marketing through these channels. If the member does not want this information or wishes to unsubscribe from updates, it is done through settings in these applications. SiS Sports Centre will not use social media to market and inform about anything other than its own and partners' products. Abel Health has access to personal information as each membership offers a free consultation session.

SiS Sports Centre automatically deletes all membership data within the deadlines required by the Accounting Act's documentation requirements and the requirements within the GDPR directive's rules.

12.7. Camera surveillance:

SiS Sports Centre has camera surveillance in parts of the building. The surveillance goes to a closed system. Only the director and deputy have the ability to log into the system. SiS Sports Centre has its own written routine for logging in. Logging into the camera system should only be done if there is suspicion of a criminal act. The police will have access to the system upon suspicion of criminal acts and upon written request for access.

13. Special measures in extraordinary events

13.1. In the event of extraordinary events, such as a pandemic or similar, which result in the temporary closure of SiS Sports Centre or significant restrictions in the offering, adjustments to payment arrangements may be made.

13.2. The member is obligated to follow applicable rules in extraordinary events, both nationally, municipally, and the guidelines set by SiS Sports Centre. This may include requirements for self-effort from the member to maintain infection control during training. Violations of these rules may result in the termination of the membership.
